T-Cards / Kamishibai Boards

T-cards, also known as Kamishibai are usually applied for process confirmation or tasks that need to be performed in a certain time interval. The idea is to eliminate the need of a calendar, excel file or other schedule, but instead to have a board with all the information available of what has to be done when and by whom. The rescheduling of a certain task is done by simply placing the card into a different slot.

The name T-cards comes actually from the shape of the card which is in a shape of a “T” and therefore can be placed into a slot while the title is still visible.

One simple way to identify if an task has been completed is to use double sided cards. The cards then need only to be turned around to identify if a task has been done or not.

T-Cards come in handy for process confirmation (process audits) with the usage of only 3 slot rows. The rows can be divided into weekly, monthly or yearly tasks (see picture below). Once a change or improvement has been performed in a certain area, a new T-card is created and placed in the weekly row (let’s say Tuesday). In this way, every Tuesday the responsible person has the reminder to check if the process is being followed according to the new standard. Once this check is finished, the card can be flipped over. As soon as the process is running smoothly( let’s say a few weeks passed and the process was running fine), the weekly checks may not be needed anymore and the card can be placed into the monthly row (let’s say between 10th and 20th of each month).

Once these checks have been done for a few month and the process is running fine, the card can be placed into the yearly check (for example every June). If the process is then running really well, maybe the card can be completely removed from the board. This is a interesting system to ensure the effectiveness of any new improvements. Periodic checks are scheduled and rescheduled by simply moving the card from one row to the other.

Of course, by the end of the week all the cards on the weekly row should have been turned green. By the end of each month, all cards in the monthly row should be green and by the end of the year all cards on that row should be green. These cards need then to be manually turned back to red once a new week, new month or new year begins.
